Academic Affairs Guest Speaker Guidelines

Guest speaker for a class- virtual or in person

  • Name of guest speaker, date, time, class, section, topic of presentation sent to Director of Academic Affairs, Wiebke Strehl [email protected] and Academic Affairs staff, Heather Shank [email protected], at least 2 weeks prior. Heather will prepare guest speaker forms.
  • Academic Affairs will seek Financial Officer approval on forms and confirm with faculty.
  • Honorariums must be pre-approved by Wiebke Strehl, Director of Academic Affairs before a speaker is arranged. We do not pay honorariums to University employees (full-time or part-time).
  • All paid guest speakers must pre-register as a “vendor” on the vendor registration site. This allows for a direct-deposit and collects their W-4/W-9 information prior to payment. Vendor registration information will be provided when funding is approved.
  • If presentation is by Zoom, Penn State's instance of Zoom or Microsoft Teams should be used. Security measures should be in place.
  • Adhere to all event guidelines set by University.

Guest speaker virtual or in person- Campus or Community are invited

  • Name of guest speaker, description of talk, date, & time of presentation sent to Director of Academic Affairs, 4-6 weeks prior to event date.
  • Once date is confirmed, Heather will complete room request, including A/V requests, room set up, & break down. Guest speaker forms will be sent to faculty member & guest speaker.
  • Academic Affairs will seek Financial Officer approval on forms and confirm with faculty.
